Privacy & Data Protection Policy

Last Updated: August 25, 2026

Data Protection Standard: LocatePreceptors uses transport encryption, role-based access controls, secure session handling, audit records, and field-level encryption for selected sensitive values where implemented. Payment-card and bank onboarding details are handled by configured payment providers rather than stored as raw credentials by LocatePreceptors.

1. Information We Collect & Scope

To safely match nursing candidates with verified clinicians across international clinical landscapes, LocatePreceptors.com (operated by Amexwrite, Inc.) processes specific professional, transactional, and identity data arrays:

  • Clinical Preceptors: We collect and maintain records of full legal names, clinical work addresses, digital contact profiles, Professional License Numbers, National Provider Identifiers (NPI), state or national registry mappings, and institutional facility constraints.
  • Advanced Nursing Students: We collect student profile data including university affiliation details, degree paths (NP, MSN, DNP), active clinical coordination contacts, background screening confirmations, and current logbook progress metrics.
  • Financial Metadata: We retain marketplace transaction references, status, amounts, fees, and workflow records needed to operate and support placements. Raw card numbers and bank credentials are entered with configured payment providers and are not stored by LocatePreceptors.

2. How Data is Processed & Verified

Data processing operations serve distinct technical functions to preserve the integrity of clinical placements:

  • Profile and Credential Review: Professional details may be reviewed by administrators and, where a configured source or integration is available, compared with relevant public or licensed professional sources. An account or profile label does not replace school, employer, licensing-board, or placement-site verification.
  • Automated Match Coordination: Multi-tenant search indexes utilize regional mapping configurations to calculate proximity spaces between requesting candidates and nearby host clinicians.
  • Institutional Audit Reporting: Platform reports map data clusters to academic clinical program coordinators to accelerate formal university onboarding approvals and verify programmatic track compliance.

3. Strategic Sharing & Disclosures

We do not sell personal information to consumer advertising brokers. LocatePreceptors and the sister nursing website are operated by the same legal data controller, Amexwrite, Inc. Contact data from that sister service may be staged as a LocatePreceptors lead for reviewed outreach, subject to applicable law, consent records, suppression lists, and unsubscribe choices. Information exchange is otherwise limited to operating and supporting the service:

  • Match Participants: Basic professional history, license statuses, and regional coordinates are visible to matched counterparties to facilitate placement coordination.
  • Educational Audit Networks: Profile configurations and automated milestone tracking logs are disclosed to verified university clinical departments upon direct student request.
  • Regulatory & Legal Mandates: Where required by public safety rules or healthcare compliance laws, we share identity configurations with relevant state or federal licensing boards.

4. Cross-Border Data Routing Parameters

Because our matching workspace operates globally—spanning data clusters across the United States, United Kingdom, Canada, Australia, and New Zealand—your records may traverse international cloud hosting networks. All cross-border paths utilize recognized institutional data transfer frameworks to ensure matching data remains protected under equivalent security umbrellas regardless of location.

5. Data Retention & Expunction Rights

We retain information only for as long as reasonably needed for the purposes described in this policy, to provide the service, maintain security and audit records, resolve disputes, honor suppression requests, and meet applicable contractual or legal obligations. Retention periods vary by record type and jurisdiction; we do not apply a blanket medical-record retention period to every marketplace record.

Users maintain full rights to inspect their collected personal records, adjust functional details, or request account deactivation by filing a support ticket through our central helpdesk channels.

6. Administrative Controls & Support

7. Communications, AI Assistance & Your Choices

Transactional messages—such as email verification, password reset, security, payment, billing, and service notices—are triggered by account or marketplace activity. Opportunity and promotional communications are managed separately and are subject to recorded channel permissions and suppression checks.

  • Marketing email contains a visible unsubscribe link and supports one-click unsubscribe where the recipient system provides it.
  • SMS and WhatsApp outreach require their own recorded permission; an old telephone number or legacy notification default is not treated as sufficient consent.
  • Unsubscribe, complaint, hard-bounce, STOP, wrong-person, legal, and administrator suppressions prevent future targeting for the affected channel.
  • Authorized administrators may use an OpenAI-powered drafting assistant with an allowlisted, minimized contact context. It is draft-only, excludes patient, billing, payment, credential, and private-record content, and does not send messages or change consent automatically.
